The annual canvass starts in July 2023

What is the annual canvass?

Each year the Electoral Registration Officer (ERO) has a legal requirement to carry out an annual canvass to ensure the electoral register is accurate and complete.

How to respond

The easiest and most cost-effective way of responding to the canvass is to use one of the automated methods detailed in your letter. Please read your letter carefully to identify whether you need to respond to the annual canvass.

How does the canvass work?

Data matching

Electoral register data is sent securely to the Department for Work and Pensions (DWP) database to be matched in June. Electors' names and addresses will be matched against National Insurance details and the information held by the DWP. In addition, an ERO has the discretion to use local data, for example, council tax records, to perform a matching exercise.

Communication routes

If all registered people at a property are matched on either database, the property will go down the Route 1 canvass.

If any people at a property cannot be matched, the property will go down the Route 2 canvass.

Route 1 canvass

We will send a form to your property during the at the beginning of July with the elector details. 

If they are correct, you do not need to do anything.

However, if you want to add or remove someone from the property, go to the household update service and use the security codes on the form to log in and complete that change.

Route 2 canvass

We will send a Canvass Communication B letter to the property through the post, containing the elector details. We will send a blank form if the property is empty.

We need a response from this form even if there are no changes to report.

If you want to add or remove someone from the property, go to the household update service and use the security codes on the form to log in and complete that change.

If you do not wish to respond online and have no changes, you can call 0800 197 9871 for the automated freephone telephone service.

You can also text NOCHANGE, followed by your two security codes, to 80212. This option does have a standard charge.

If we do not receive a response from the Canvass Communication B forms, we will make every attempt to contact you. We may contact you using reminder forms, telephone, email, or a visit to your property.

We will get back to you within three working days. You can use this email to report your canvass response, including any changes. For example, if you wish to apply for a postal vote, change your over 76 years of age marker or remove or add a member of your household.
